Executive coordinator

FPA Sri Lanka is on the lookout for a dynamic person for the above position. The roles require an experienced and organised individual who will assist in organising schedules, planning meetings and events, managing appointments and other routine secretarial functions.

Key Responsibilities

  • Manage calendars, schedules, events, and appointments efficiently, ensuring optimal time management.

  • Screen and manage incoming calls, emails, and correspondence with professionalism.

  • Take accurate minutes during meetings and ensure timely distribution and follow-up.

  • Liaise with internal departments and external stakeholders as required, facilitating smooth communication.

  • Draft, review, and manage routine correspondence and documentation.

  • Coordinate travel arrangements, including visas, itineraries, and bookings.

  • Support the organisation with flexible work hours (standard hours: 8:00 a.m. – 6:30 p.m., Monday to Friday, with a 8.5-hour workday). Occasional evening or weekend work may be required, with compensation provided via lieu leave or per diem.

Candidate Profile & Job Requirements

  • Strong command of English – both written and spoken.

  • Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with social media and online communication tools.

  • High level of discretion, diplomacy, and confidentiality.

  • Exceptional organisational and time-management skills.

  • At least 3–5 years of experience in a comparable administrative, secretarial, customer service, or coordination position.

  • Candidates residing within a reasonable commuting distance to Colombo are encouraged to apply.
